What Do I Do If I Lost My W-2?

What is a W-2 and W-4 Form and What is it Used For?

What a W-2 Is and Why It Matters

A W-2 is the form an employer sends to an employee after the year ends. It shows how much you earned and how much federal, state, Social Security, and Medicare tax was withheld from your pay.

You normally use the W-2 to prepare your tax return. The amounts on it help make sure your income and withholding are reported correctly. That is why it is important not to guess. A wrong number can delay your refund or lead to an IRS notice later.

If this is your first time filing, our guide to first-job taxes can help you understand the basics.

Start by Asking Your Employer for Another Copy

If you lost your W-2, contact your employer or former employer first. Ask for payroll, human resources, or the person who handles W-2 forms. Confirm that they have your current mailing address and ask when you can expect a replacement.

Many employers can give you another paper copy, send a secure electronic copy, or make it available through a payroll portal. A former employer may be able to do the same, so do not assume it is too late to ask.

Keep a note of who you spoke with and the date. If you have online payroll access, check there as well. Gathering the correct documents early makes personal tax preparation much smoother.

If You Cannot Get a Replacement W-2

If you contacted your employer and still do not have the form by the end of February, the IRS says you may call them for help at 800-829-1040. Have your name, address, taxpayer ID number, work dates, and your employer’s name, address, and phone number ready. The IRS can contact the employer and request the missing form.

The IRS may also send instructions for Form 4852, Substitute for Form W-2. In simple terms, this form lets you file when a W-2 is missing or incorrect. Use your final pay stub or other reliable records to estimate the required amounts. Do not make up numbers or rely on memory.

If your W-2 arrives after you file and its figures are different, you may need to correct the return with Form 1040-X. If the IRS contacts you about an income mismatch, read our guidance on what an IRS letter may mean.

What to Do When the Filing Deadline Is Near

Do not ignore the filing deadline just because your W-2 is missing. First, try to get the replacement and contact the IRS when appropriate. If there is not enough time, Form 4852 may allow you to file using a careful estimate based on your final pay stub.

If you need more time to file, an extension may be an option. An extension gives more time to file a return, not more time to pay any tax due. Use dependable records and get help if you are unsure which step fits your situation.

Filing with guessed income or withholding can create avoidable problems. Accurate information helps prevent processing delays and makes it easier to respond if questions come up later.
